MYOB Advanced Business Release Update - CRM Features

In terms of CRM capabilities, MYOB is introducing enhancements to streamline the connection between different aspects of your business.

By incorporating closure notes, your team can now capture crucial feedback on deals, ensuring that everyone is on the same page.

Furthermore, you'll have the convenience of uploading leads and contacts to marketing lists or campaigns with just a click of a menu drop-down, eliminating the need for manual imports using external tools. Additionally, MYOB is rolling out updates on sales territory assignments in CRM, with territories being automatically assigned each time a user creates a new lead, contact, business account, or opportunity. This feature allows our customers to efficiently distribute deals and contacts across various territories, aiding in the analysis of results and tracking the performance of each representative within their designated territory.

MYOB is streamlining the returns process by enabling users to create return orders directly from Cases in CRM. The new "Create Return Order" option within the Cases form consolidates what used to be a fragmented process into a more coherent and efficient workflow, making it a valuable addition to the distribution process.

Address Settings for Duplicate Validation

In MYOB Advanced 2023.1, users can use the address settings of leads, contacts, and business accounts in the duplicate validation process to improve the quality of information and eliminate the creation of duplicate records.

  1. Set the address settings shown as matching fields for each pair of record types.
  2. The system compares the address settings entered on the data entry forms for each pair of record types and searches for duplicate values.
  3. A score weight in grams defines any of the matching fields.

Delegation and Reassignment of Approvals

Starting in MYOB Advanced 2023.1, users can reassign requests for their approval or delegate approval requests to other users. This means an organisation can keep its approval flow running smoothly even if the original approver assigned through an approval map is temporarily unavailable.

Changes have been made to the form toolbar of the Approvals form, including the new command of Reassign under the More menu. When clicked it displays the following window.

The Employees and User Profile forms show a new Delegates tab with the following columns.

The Reassign command has been added to relevant forms under the More menu, and to keep track of the changes, a new processing form, Reassign Delegated Activities (EP503020), has been added to the system.

Enhancements to CRM Tasks

MYOB Advanced 2023.1 introduced a new layout and updated Task (CR306020) form field names to make data entry easier. The Related Activities and Related Tasks tabs have been merged into the Activities tab. The Activities tab summarises the settings of the tasks, emails and activities related to the current task.

Also, a new Tasks (EP4040PL) list of records has been added, allowing users to view the existing tasks and navigate between tasks more efficiently. A side panel allows you to view and modify the information related to the selected row.

Ability to Extend a Business Account as a Customer During Sales Order Creation

In MYOB Advanced 2023.1, while creating a sales order from an opportunity or sales quote for a prospect, a user can extend the business account of the prospect to be a customer.

For business accounts, some enhanced dialog fields contain new and modified elements. If this extension of the business account is to be a customer, you will receive an error and an extra button advising to create a customer appears.

Opportunity Metrics

In MYOB Advanced 2023.1, new opportunity-related sales metrics have been added to help the company's sales team work more effectively and efficiently. Use the following forms to analyse opportunity metrics:

  • The Opportunity Summary by Close Date (СR3040SM) Inquiry form
  • The Opportunity Summary by Salesperson (CR3041SM) Inquiry form
  • The Opportunity List (CR3042SM) Inquiry form
  • The Opportunity Summary by Class (CR3040PT) Pivot Table

Use the above Inquiry forms and Pivot Table to filter and narrow down the information by the business and the salesperson.

Changes to the Length of Identifiers for CRM Entities

In MYOB Advanced 2023.1, the length of Record IDs will increase from 10 to 15 characters on the following forms:

  • Cases (CR306000)
  • Marketing Lists (CR204000)
  • Marketing Campaigns (CR202000)
  • Mass Emails (CR308000)
  • Opportunities (CR304000)
  • Sales Quotes (CR304500)

The Project Quotes (PM304500) form project quote ID has also been increased to 15 characters.
