How Traild Automates and Protects Accounts Payable in MYOB Acumatica

Traild reduces the manual workload in your accounts payable process and protects every supplier payment against fraud, working natively inside MYOB Acumatica. It does this in two ways: it automates invoice capture, coding, matching and approvals to save your finance team time, and it runs an always-on, machine-learning risk engine that checks each invoice for the signals of fraud before any payment is released.

In a recent live webinar, Kirstin McIntosh, Director of Channel Enablement and Partnerships at Traild, walked Avanza Solutions customers through the platform and demonstrated it live in a working MYOB Acumatica system. This post summarises what was covered and what it means for finance teams running MYOB Acumatica.

Why Traild exists: efficiency and protection together

Traild was founded after its founders experienced invoice fraud in their own family businesses. Money was lost overseas through a business email compromise, and there was no software available to protect the large, recurring business-to-business payments that finance teams make every day.

The original product focused only on fraud detection, but the founder's own finance team did not want to use it, because while it protected the business, it did not save them any time. That feedback shaped what Traild is today: a solution that pairs fraud protection with genuine efficiency, integrated directly into the ERP so the finance team works faster rather than adding another disconnected tool.

The guiding idea is a familiar one. Your credit card is already protected by algorithms that flag unusual activity and alert you the moment something looks wrong. Traild brings that same always-on protection to the much larger payments that move through your accounts payable function.

Automating the accounts payable workflow

The first half of what Traild does is take the manual effort out of processing invoices. Because it sits natively inside MYOB Acumatica and syncs in real time, there is no separate system to reconcile and no delay between the two.

The automation covers several areas. Traild extracts invoice data automatically, which removes the data entry that takes time and introduces keying errors. It performs systematic three-way matching between invoices, purchase orders and goods receipts held in MYOB Acumatica. For businesses processing high volumes, auto approvals and touchless invoicing allow an invoice that meets your defined criteria to flow all the way into MYOB Acumatica without manual handling.

Two newer capabilities were highlighted. Predictive line-level coding remembers the GL codes used on a supplier's previous invoices and suggests the same coding next time, which is useful where invoices carry many lines. And line-level variance detection now shows not just whether an invoice differs from its purchase order overall, but exactly which line the variance sits on, which matters when an invoice runs to twenty or thirty lines.

Traild has also extended beyond invoices into supplier statement reconciliation and expense management. The supplier statement reconciliation feature reads a supplier's statement, matches each line against the invoices held in Traild and MYOB Acumatica, and flags any variances. Teams that once worked through statements line by line with a ruler and pen, taking days to complete, now do this in a fraction of the time.

Detecting fraud before a payment goes out

The second half of what Traild does is protect every payment. Its detection engine runs continuously and is designed to catch business email compromise, supplier impersonation, insider fraud and social engineering.

In practice this means checking a range of signals on every invoice. Traild verifies supplier bank account details and payment terms, so a single changed digit that would send money to an unknown account is caught. It identifies duplicate and unusual sequential invoices, and it looks at payment trend data, so an invoice that is far larger than a supplier's usual amount is flagged.

Where Traild goes further is in the signals a person simply cannot see. It reads invoice metadata to detect the geolocation an invoice was sent from, so an invoice that normally arrives from Christchurch but suddenly arrives from elsewhere triggers an alert. It can also detect when a PDF has been manipulated.

All of these signals combine into a risk profile for each invoice, rated low, medium or high, which is presented to the approver. The approver remains the human in the loop, but they now make that decision with information they would never otherwise have had. Importantly, Traild does not stop you doing anything; it surfaces the risk and leaves the decision with you.

How it works in the system: the live demo

In the demonstration, Kirsten showed an invoice arriving into Traild inside MYOB Acumatica, already matched against its purchase order with receipts identified. A genuine invoice could be reviewed, have any variance resolved, and be submitted for approval in moments, with every action recorded against a single timestamped audit trail.

A duplicate invoice was flagged immediately as already being in the system. A fraudulent-looking invoice from a recognised supplier was caught because the payment details on the invoice did not match the details held on file, exactly the kind of invoice an experienced team might approve on sight at 4pm on a Friday at month end.

At the approval stage, invoices carried a clear risk warning. A high-risk invoice showed not only that the payment details were not detected but that the amount exceeded the supplier's usual maximum, with the trend data shown alongside. At the payment review stage, the CFO sees a mirror of the MYOB Acumatica batch, with the most problematic items surfaced to the top, so a large payment that has not passed through Traild's checks can be investigated then and there.

What it means for finance teams

For a finance team running MYOB Acumatica, the combination is a reduced manual workload, a faster month end, fewer errors and greater transparency across the payment process. The intent is to lift the finance team above the operational noise of data entry and manual checking, so that time goes towards strategy rather than paperwork.

Traild is deeply integrated with the specialist editions of MYOB Acumatica, including Construction, Distribution and Manufacturing, so more complex requirements such as managing subcontracts and retentions are handled. Implementation is designed to be straightforward, typically running over two to four weeks, with Avanza Solutions supporting the rollout.

Frequently asked questions

Can an invoice be split between branches? Yes. Traild can split a multi-page invoice into separate invoices and these can be allocated across branches.

Can I have multiple approvers? Yes. Traild supports multiple approvers, and an approval workflow sits within Traild itself, so there are no more paper-based or email approvals to chase.

Do invoices and statements need to sit in both Traild and MYOB Acumatica? They do not have to. Information that starts in Traild moves into MYOB Acumatica, where it is mirrored along with the invoice URL, attachments and any commentary. For an audit, you can give an auditor read-only access to Traild, or have them work in MYOB Acumatica and open the linked records to see the full invoice history, activities and approver.

Can I use Traild as my digital filing location for AP invoices and go paperless? Yes. Many customers use Traild this way and no longer keep physical invoice files.

Do I have to release payments in Traild? No. Payments are currently released in MYOB Acumatica. Releasing payments within Traild is a future capability being introduced through Traild Pay.

How long does implementation take? Typically two to four weeks, with Avanza Solutions managing the rollout alongside the Traild onboarding team.
