Choosing a MYOB Acumatica Partner in NZ

MYOB Acumatica Construction Edition is implemented by MYOB partners, not by MYOB directly. That means the partner you appoint has more influence over the outcome of your project than almost any other decision you will make, including the software itself. For a New Zealand construction business, the right partner is one that understands progress claims, retentions, subcontractor management and job costing as they actually work here, supports you from a New Zealand time zone, and runs a defined implementation methodology rather than improvising as the project goes. This article sets out the criteria to evaluate against, the questions to ask, and the warning signs worth taking seriously.

By the time most construction businesses reach a partner conversation, the software comparison is largely done. Two or three products will do broadly what is needed. What separates a project that lands from one that stalls is almost never a missing feature. It is usually one of the following:

  • The chart of accounts and job cost structure was designed by someone who had never run a construction project.
  • Retentions were configured to the letter of the contract but not to the way the business actually releases them.
  • Data migration was underestimated, and the business went live carrying rubbish from the old system.
  • The consultant who scoped the project was not the consultant who delivered it.
  • Nobody owned the change management, so the site and project teams never adopted it.

Every one of those is a partner issue, not a product issue. Evaluate accordingly.

 

What to look for in a MYOB Acumatica Construction Edition implementation partner

 

1. Construction experience, not just ERP experience

Ask specifically about construction. A partner with a long list of distribution and manufacturing clients has genuine ERP capability, but construction has its own vocabulary and its own accounting behaviour: work in progress, percentage of completion, variations, provisional sums, retentions held and retentions receivable, subcontractor payment schedules and cost to complete.

A useful test is to describe a messy real scenario from your own business and see whether the response is a considered answer or a request to take it away. For example: a variation approved verbally on site, invoiced in the following month, where the client disputes part of it and retention applies to the balance. You are listening for whether they have seen it before.

2. New Zealand context and compliance

Construction in New Zealand carries obligations that generic ERP configuration will not cover on its own. Your partner should be fluent in how the system supports:

  • Retention money requirements. The Construction Contracts (Retention Money) Amendment Act 2023 changed how retention money must be held and accounted for by parties in a construction contract. Your partner should be able to explain how retentions are tracked and reported in the system, and where the boundary sits between what the software does and what your finance team and legal advisers must do. MYOB Acumatica is the New Zealand localised edition of Acumatica, and that localisation matters. Be cautious of any capability demonstrated from global Acumatica material that has no corresponding MYOB New Zealand documentation. Ask the partner to show you where a given feature is documented for the New Zealand product.

3. Local support, in your time zone

Construction does not run to a convenient support window. A payment run that fails on the last working day of the month, or a progress claim that will not post before a certificate deadline, needs a response the same day.

Ask directly:

  • Where is the support team physically located?
  • What are the published support hours in New Zealand time?
  • Is first line support handled by the same firm that implemented the system, or is it triaged offshore?
  • What happens at month end and at year end? Is there additional cover?
  • Who do you call if it breaks on a Friday afternoon?

4. A defined implementation methodology

A partner should be able to describe their methodology without improvising. You are looking for named stages, named deliverables and clear decision points. At minimum, expect to see:

  • Discovery and scoping, producing a written scope that you sign off before build begins.
  • Solution design, documented, with the design decisions recorded and traceable.
  • Configuration and build against that design.
  • Data migration, with defined cutover data sets and at least one trial load.
  • User acceptance testing, run by your people against real scenarios, not by the partner against demo data.
  • Training, split appropriately between finance, project managers and site or administrative users.
  • Go live and hypercare, with a defined support period and a defined exit from it.
  • Handover to business as usual support.

If the answer to "what is your methodology" is a slide with four arrows on it, keep asking.

5. Scope, change control and how variations are handled

Ironically for a construction audience, ERP projects and construction projects have the same failure mode: uncontrolled variation. Ask how the partner handles a change request mid project. Ask to see the change request template. Ask what happens commercially when the change originates from something they missed at scoping rather than something you added.

Clear, documented change control protects both sides. Its absence usually favours neither.

6. Team continuity

Find out who will actually be on your project, not just who is presenting. Ask:

  • Will the consultant who scoped this project be the one delivering it?
  • Who is the project manager, and how many other projects are they running concurrently?
  • Who is the functional consultant for construction specifically?
  • What happens to knowledge of our configuration if that person leaves?

Ask for names. A partner confident in their team will give them.

7. Data migration approach

Data migration is where more projects lose time than anywhere else. A credible partner will tell you early that not everything should come across, and will push back on requests to migrate a decade of transactional history when balances and open items would serve better.

Ask what gets migrated as standard, what is treated as optional, how many trial loads are included, who is responsible for cleansing, and how reconciliation is signed off before go live.

Done properly, migration does not have to mean a drawn out cutover. 8. Integration and the wider ecosystem

Most construction businesses run more than one system. Estimating, plant and fleet, health and safety, document control, and site time capture often sit outside the ERP. Ask what the partner has integrated before, how integrations are supported over time, and what happens when one end of an integration is upgraded.

9. Commercial transparency

Be wary of a fixed price that looks materially lower than others for the same scope. It usually means the scope has been read differently. Ask what is excluded, what the assumptions are, what the hourly rates are for work beyond scope, and what the ongoing support arrangement costs once hypercare ends.

10. Post go live support and the long relationship

The implementation is a few months. The relationship is years. Ask what support looks like in year two and year three: who holds the knowledge of your configuration, how upgrades are handled, whether there is a regular account review, and how you raise and prioritise enhancements.

Questions worth asking in an evaluation meeting

Take these into the room:

  1. How many New Zealand construction clients have you taken live on MYOB Acumatica, and may we speak to two of them?
  2. Which of them was the most difficult, and what went wrong?
  3. Who exactly will be on our project team, and what else are they working on?
  4. What is your written implementation methodology, and can we see the deliverable templates?
  5. How do you handle retentions, variations and progress claims in the system? Show us, do not describe it.
  6. What is your support model, where is it located, and what are your published response times?
  7. What is not included in this quote?
  8. What would make you tell us we are not a good fit for this product?

That last question is more revealing than it looks. A partner willing to say no to the wrong project is usually the safer choice.

Warning signs

  • A demonstration built on global product material with no New Zealand documentation behind it.
  • Unwillingness to provide reference customers in your industry.
  • A proposal with no written scope attached.
  • Claims about competing products that are confident but unsourced.
  • Pressure to sign before scoping is complete.
  • No named team, only role titles.
  • Support that cannot be described in specifics.

Changing partner is a normal and permitted process. Your MYOB Acumatica licence and your data stay with you. The transition involves reassigning the partner of record with MYOB, transferring knowledge of your configuration, and re establishing support arrangements.

The honest framing is this: because subscription pricing is set by MYOB, moving partner is not a way to reduce your licence cost. The reason to move is support quality, responsiveness and industry understanding. If those are the issues, a transition is worth a conversation. If cost is the only issue, it may not solve the problem.
